What we collect

Enquiries

When you contact us through our website we collect your name, email address, phone number (if given), the postcode of the property, and what you tell us about your project, budget and timing.

Clients and projects

If you become a client we hold your contact details, the property address, drawings, specifications, photos and progress notes from site, programme and cost information, variations you approve, payment records, and the messages exchanged about your project on our platform.

Contractors and their teams

For contractors in our network we hold business and contact details, the vetting information they provide (insurance, accreditations, references), tenders they submit and their activity on projects.

Technical data

Standard server logs (IP address, browser type, timestamps) used for security and troubleshooting. We do not use advertising or analytics trackers.

How we use it

• To respond to your enquiry and arrange a consultation (our legitimate interest in replying to you).
• To manage your project, tender it to contractors and keep you informed (performance of our contract with you).
• To take and release stage payments and keep financial records (contract and legal obligation).
• To keep our platform secure.

We never sell your data, and we only contact you about your enquiry or project unless you ask us to.

Who we share it with

Contractors and designers invited to tender for or work on your project see the information they need to do so, such as the property address, scope and drawings. We also use service providers to run our platform: hosting and database, file storage, email delivery and payment processing. Each processes data only on our instructions.

How long we keep it

Enquiries that don't proceed are deleted after 24 months. Project records are kept for as long as needed for warranties, building regulations and tax purposes (normally up to 7 years after completion).

Your rights

You can ask to access, correct or delete your data, object to or restrict how we use it, or ask for a copy to take elsewhere. Email hello@thehomebuildclub.co.uk. You can also complain to the Information Commissioner's Office (ico.org.uk).
